Locksmiths

Software for locksmiths

Somebody is locked out now. There is no quoting and usually no second visit — one call, one hour, and the only thing that matters afterwards is that you got paid before you drove off. The scheduling you do is not a diary of appointments, it is a rota and a decision about who is nearest.

What is different about this trade

This is the trade with the shortest distance between the work and the money, and software written around quote-then-schedule-then-invoice gets in the way of it. The invoice is raised standing at the door and the customer pays it on their own phone, on their own copy of it, before you have packed the van.

How it handles your day

Raise it at the door

The invoice is built on the phone and goes straight to the customer. They pay by card on their own invoice page, the payment records itself and settles the invoice, and you are told.

A job that is one visit

Nothing here forces a job to have stages, visits or a quote behind it. One call-out is one job with one visit on it, and the whole multi-visit machinery stays out of your way.

The call that comes in while you are under a door

Put a form on your website, or have your own website's form post straight in — either way it arrives as an enquiry rather than an email you meant to deal with. Anything still unanswered after a day is flagged by name with how long it has been sitting, which for call-out work is the difference between a job and somebody ringing the next locksmith down the list.

A night rota, not a diary

Working hours are set per person and per day, so Thursday night being Dai's and Friday being Rhys's is written down rather than carried in somebody's head. Book outside what somebody actually works and it says so before you have promised a time.

Who is nearest, before you send anybody

The diary measures the distance from the job somebody is already on to the one you are about to give them, and warns when it will not work. Port Talbot at ten and Pontypridd at five to eleven passes every other check there is. It leads with the miles, which are solid, and calls the drive roughly — it is a distance, not a route, and it will not pretend otherwise.

What you found, photographed

The state of a door before you touched it, dated against the job. Internal unless you send it — which matters when somebody later says the frame was fine when you arrived.

Agents and landlords on account

Repeat work for letting agents goes on a monthly statement instead of thirty invoices, each line carrying the job reference and the date it was done.

Questions, answered

Can the customer pay card at the door?

They pay by card on their own invoice page, which you send them there and then — so on their phone rather than on a reader in your hand. The payment records itself and settles the invoice.

Do I have to raise a quote first?

No. A job does not need a quote behind it, and for call-out work it usually should not have one.

Can I have different rates out of hours?

Prices are per job or from your price list rather than a time-of-day rule, so an out-of-hours call-out is priced as its own item.

Does it work on a phone properly?

It is built to be used standing up with one hand — that is the assumption throughout, not a cut-down mobile version. Every form control is sized so a phone will not zoom when you tap it.

Can I put a letting agent on account?

Yes, with a monthly statement rather than an invoice per call-out, on their payment terms.

How does a call-out actually get into the system?

Two ways without anybody typing it twice: a form we host that you link or drop into your own site, and a web address your existing website form can post to directly. Both land as an enquiry on one list in the order they arrived. A call you take yourself is still typed in — nothing here listens to your phone.

Will it tell me about a job nobody has rung back?

Yes. An enquiry still untouched twenty-four hours after it arrived is raised as a missed enquiry, with how long it has been sitting. It is the one that costs the most for this trade and the easiest to lose at three in the morning.

Can I run a night rota across two or three people?

Working hours are per person and per day, so each night belongs to somebody. The diary checks a booking against the hours of whoever you are giving it to, warns rather than refuses, and re-asks if you move it — free on Thursday is not free on Friday.

How much is it?

£29.99 a month for the whole business — every feature, every person, no add-ons. 60 days free and no card to start.

Before you start

When you sign up you are asked what the business does. Pick Locksmith — the app uses it to decide what to show you, so the screens arrive already suited to the work rather than needing switching off one at a time.

The arithmetic behind this is free to use without an account — try the late payment interest calculator, which runs the same code the invoices do.
