What is said in this recording
Connecting your accounts means invoices, credit notes, payments and refunds raised in TaskMyJob appear in your books without anybody re-keying them.
Step by step
- 1
Go to Settings and find the integration card for your package.
- 2
Press Connect and sign in to your accounting package.
You are sent to them to authorise it; we never see your password.
- 3
Set which accounts things should land in.
Your sales account, and the bank account payments are received into. Both are short numbers — and in Xero the bank one is usually blank until you give it one yourself. See below.
- 4
Raise an invoice and check it arrives as you expect.
Worth knowing
Where the codes are in Xero
Not on the Bank accounts screen — that lists your accounts without their codes, which is where most people look first and give up. Go to Accounting, then Chart of accounts: every account is listed with a Code column. Your sales account is on the Sales or Revenue tab and is usually 200 in a standard UK chart. Use what yours actually says rather than ours.
Your bank account probably has no code yet — you give it one
This is the step that stops people, and it is not you missing something. Xero creates bank accounts with the Code column EMPTY, so there is nothing to copy and nothing to find: searching the chart of accounts for “090” or for “bank account” comes back with nothing at all. You add the code yourself. In Xero go to Accounting, then Chart of accounts, open the Bank tab, click the account you want payments to land in, type a code into the Code box and save. 090 is the usual one for a main current account in a UK chart — any unused number works, and whatever you type there is what you paste into TaskMyJob.
You can leave the bank account code blank
If you would rather not set one up yet, leave it empty here. Blank means invoices sync and payments do not, so an invoice paid in TaskMyJob stays unpaid in your books until somebody reconciles it there. Nothing breaks — you simply do not get that half. Fill it in when you are ready.
Check the first credit note and refund by hand
The ordinary invoice path is well travelled. Credit notes and refunds are less so, and Sage's handling of them is the least proven of the three — check the first one of each lands the way your accountant wants it.
